A replacement machine can protect revenue, but its purchase price is only part of the decision. Before exploring equipment funding, estimate the cash the equipment can realistically produce or preserve, when that cash arrives, and every cost needed to keep it operating.
Write down the full installed cost
Ask for a written quote that separates equipment, delivery, installation, training, taxes, maintenance and any required changes to the premises. Include downtime during installation. For used equipment, ask about condition, warranty, service availability and expected repair needs. A quoted funding amount may not cover these additional outflows.
Compare three options
Put repair, replacement and a temporary rental side by side where available. Compare the initial cash needed, ongoing payments, useful life, likely downtime and the cost of a delayed installation. Review a lease or financing agreement for ownership, security, insurance and end-of-term obligations. Products and requirements vary by provider; do not treat these options as interchangeable.
A simple cash contribution example
Hypothetical planning example: a machine is expected to support $8,000 of additional collected revenue in a month. Materials, labor and other variable operating costs for that work total $5,000. That leaves $3,000 before the proposed funding payment, fixed overhead, taxes, repairs and reserves.
If the proposed payment is $1,800 a month, the remaining $1,200 is not automatically profit or spare cash. Subtract the other obligations still due. If collected revenue falls to $6,000 while variable costs remain $5,000 for that month, only $1,000 remains before funding: the $1,800 payment would exceed it by $800. Test your own figures rather than using this illustration as a return forecast.
Match collections to the actual withdrawal schedule
A monthly contribution estimate can hide a payroll-week shortfall. Place deposits, customer collections, payroll, supplier bills and every existing financing payment on the same calendar as the proposed new withdrawals. Include installation delays and one repair scenario.
Read our daily versus weekly funding-payment comparison. For a worked timing example, see payroll due before invoices clear. A weekly schedule is not automatically more affordable than a daily schedule.
Questions to ask before accepting an offer
How much cash will the business receive after all deductions?
What is the total contractual obligation, including disclosed fees?
On what dates will each payment or remittance occur?
What collateral, guarantees, insurance or other obligations apply?
What happens if equipment delivery or customer payment is delayed?
What does the written agreement say about early payoff, default and any adjustment process?
Request clear written answers from the provider. The funding structure and agreement determine the obligations; a sales estimate does not change them.
Plan first, then prepare your documents
